ROLE OVERVIEW //This is an exciting opportunity for a proactive, professional and detail-focused individual who is eager to support our talented workforce and be an integral part of our Lateral Recruitment team.We are recruiting an Administrator to work in the Lateral Recruitment team within the Human Resources (HR) department on a permanent basis. HR is responsible for supporting and developing the firm’s people to help drive and shape the future success of the firm.The Lateral Recruitment team reports into the Head of Recruitment and is responsible for all new hires across the business services and legal groups, except for trainee solicitors and solicitor apprentices. The primary focus of this role will be to facilitate and support the team throughout the entire recruitment cycle. As a key member of the team, the successful candidate will play a pivotal role in delivering an efficient, proactive, and reliable recruitment service to our stakeholders.Reporting to the Recruitment Manager, the successful candidate will collaborate closely with two Recruitment Advisers and a Recruitment Assistant, fostering a collaborative team environment that thrives on shared expertise and mutual support.The HR department is led by our Chief People Officer and comprises the following - HR Advisory, Trainee Recruitment, Lateral Recruitment, HR Systems and MI, Global Mobility, Reward and Benefits and Employee Relations.KEY RESPONSIBILITIES //The key responsibilities of this role are set out below – there may be others which are not listed. The role is to work Monday to Friday, 9.30am to 5.30pm. Duties include:Interview Coordination Coordinating interviews and candidate assessments to ensure a positive candidate and interviewer experienceDiary management and booking roomsLiaising with hiring managers, candidates and recruitment agencies on a daily basisEnsuring the Recruitment Advisers are regularly updated on the status of interview scheduling and escalating any queries or issues that may ariseDrafting new joiner offer paperwork and contractsAdding joiners onto the pre-employment screening systemOn-boarding New Employees and ContractorsSupporting with the on-boarding process, inputting new joiner data into the HR system, conducting right to work checks and liaising with the HR Advisory team to organise inductionsInitiating visa sponsorship processes and co-ordinating relocation support packages for overseas candidatesProcessing invoices and expenses for the teamAttending weekly meetings to discuss upcoming new joiners or contractors and assist on any joiner queries/issuesGeneralProviding required administrative support to the Lateral Recruitment teamProactively anticipating any needs or issues before they ariseand contributing to team meetingsthe lateral recruitment intranet pages to ensure information remains accurateMaintaining the integrity of the data held on the system and in personnel files in accordance with the firm’s data management policyProviding administrative support for ad hoc projectsCANDIDATE PROFILE //Candidates for this position will be expected to have worked, or be working, in a similar role within a professional services environment. Requirements include:Intermediate level knowledge of Microsoft Office Packages, in particular Word and Excel.Excellent administrative and organisational skills, this role would suit someone from a secretarial or PA backgroundExcellent interpersonal and communication skills, written, spoken and presentationalExcellent attention to detail and good use of grammarProven ability to deal with confidential matters with discretionA willingness to provide feedback, share information and contribute ideas and suggestions as necessaryAbility to build strong business relationships with internal and external clients and the resilience to deal with demanding individualsActive listening skills, demonstrating professionalism in all dealingsAbility to accept instructions and guidance from different anglesStrong ability to multi-task, keep calm under pressure and work to tight deadlinesExperience of working in a diverse team whilst fostering an inclusive team cultureHigh level of professionalism and integrity; displaying the highest standard of professional ethics
