Job description

Key deliverables:

In this role you will be expected to:

Following a migration of information from legacy platforms to the Records Management Hub on SharePoint online, review data capture sheets for duplicated information and mark for destruction in line with Ofwat's retention and disposal policy.

Support the Records Review Officer in mapping out digital records management lifecycle workflows.

Conduct a mapping exercise of digital information /data assets across Ofwat assigning ownership for current and historical information to Information Asset Owners (IAO's), creating a resilient system.

Understand end to end records management, the lifecycle of records and the significance of Information Asset Registers (IAR's) in effectively managing and protecting information assets, while enabling IAO's to understand their value.

Support in the production of training materials and deliver training, while raising awareness to Information Asset Owners/Coordinators on their roles and responsibilities as well as upskilling Directorates in using IAR's as a strategic decision-making tool.

Support in reviewing and updating IG policies and operational documentation in line with legislative changes.

Engage with Directorates to raise awareness and implement TNA Selection Policy, end-to-end records management life cycles, and Information Asset Registers across the business.

Collaborate with colleagues in IT to produce and deliver guides, tutorials and best practice on how to share information in a safe and secure manner, while collaboratively using tools such as MS Teams (My Hub) moving to a self-service model.

Support joint projects and wider organisational development work in line with Ofwat�s data strategy/ digital strategy/open data.

Be keen to improve knowledge and skills across the KIM (Knowledge and Information Management professions) as part of the role and learn and engage and network with other regulatory bodies and other Government departments and share best practice.

To be successful in this role you will need the below essential attributes, experience, skills and knowledge:

Experience, skills and knowledge�

Lead criterion: Experienced information/records professional with practical expertise in digital records and/or information management environments.

Lead criterion: Experience of and ability to manage and lead organisational change from an information/records management perspective.

Lead criterion: Experience of and ability to set up and create databases and spreadsheets to review and monitor workflows/templates with minimum supervision.

Experience in using systems such as Excel, SharePoint, EDRMS and Microsoft Teams as well as being comfortable with using new, innovative and emerging technology, such as AI, for current and future operating models.

Proficient in end-to-end records management, including understanding the lifecycle of records and the role of Information Asset Registers in effectively managing and protecting information assets, enabling Information Asset Owners' to understand their value.

Membership of one of the Knowledge and Information Management professional bodies (CILIP, IRMS or ARA) or relevant work experience. Knowledge of relevant legislation, including Freedom of Information Act, the General Data Protection Regulation (GDPR) and the Public Records Act 1958.
