Position Overview Interserve Support Services are recruiting for a PPM Coordinator to work on our government contract. The successful candidate will be responsible for coordination and management of planned preventative maintenance and supply chain, working alongside the planners and the Service Delivery teams. This includes organisation and prioritisation of work schedules for each person delivering service in the field.To provide dedicated administrative support to the Regional operations teams within the central PPM department to ensure effective and efficient operation as directed by the line Manager.The role will encompass the delivery of key tasks, with a focus of this role being the deliverance of excellent customer service through open, courteous and friendly communication.
Hours of work will be 37.5 hours per week with a rolling rota between the hours of 7am – 7pm, Monday to Friday with flexibility to work weekends, when required.
Responsibilities
Document Management and scanning and uploading documentation
Administer incoming / outgoing mail and faxes
Preparation and administration of outgoing correspondence
Administration of hard copy and electronic files
Administration of client contact lists
Maintaining the contract filing system
Provide central contact for site, fielding and redirecting calls where required
Management of incoming and outgoing mail
Collating and distributing all incoming faxes
Ensure PPM requests are complied with and completed – provide feedback to Manager
Ensure all associated paperwork is completed and maintained in an orderly and timely manner
Actively promote the interests of the customer by providing an informative, helpful service to all callers
Attend training and other meetings as required and to make specific training needs known to line management
Be aware of the business continuity plan for the part of the business you work in
What we are looking for Experience of Office environment working
Experience in a customer-facing environment
Comfortable with Microsoft Office suite (Word and Excel)
Use all types of technology telephones, faxes, e-mail, scanners, photocopiers, printers
Positive and cheerful disposition
Excellent communication and interpersonal skills
Team player
Well organised and prepared to be flexible in their approach
